Inventory fields on a product

Mark a product in or out of stock, track its quantity, limit how many a customer can order and get a low-stock alert.

Before you start

The Inventory card appears when Stock tracking is on. The owner turns it on in Shop › Features.

Who can use this

The Inventory card is on simple products. A product with variants keeps the same fields on each variant: see Variants.

Fields

Field	What it does
1. Stock status	In Stock or Out Of Stock. Use it to take a product off sale by hand
2. Max per order	The most units one order can contain. Empty means no limit
3. Track stock quantity	When on, availability follows the quantity you enter, and each sale lowers it
4. Quantity in stock	The units you have. Shown when tracking is on. With more than one location, a table of quantities per location takes its place
Low stock alert at	The product counts as low stock at or below this quantity
If you lower the stock, why?	The reason recorded when you reduce the quantity, with an optional Note. Shown on an existing product

Reasons for lowering stock

Damaged, Expired, Theft or loss, Sample or internal use, Stock count correction and Other reason. The reason and note are saved in the stock history. Every reason except Stock count correction also counts in the wastage report.

A reason is optional unless the owner switched on "Ask for a reason whenever someone lowers a stock quantity by hand" in Stock control settings. Then the page refuses a lower quantity without one:

Message	What to do
Choose why the stock went down (damaged, expired, lost…).	Pick a reason
Add a note to say why the stock went down.	You chose Other reason; type a note

With more than one location

The single quantity field is replaced by a Stock per location table. See Stock per location.

What customers see

A product whose status is Out Of Stock, or whose tracked quantity has run out, shows the Out of stock badge in your list.
With Disable Out Of Stock Products? on in your general settings, sold-out products are hidden from store listings.

Change the quantity faster: from the products list or in the bulk edit grid.
Low stock: the filter and the daily digest.
Turn on stock tracking.
